By CertKeep Team · Reviewed 11 September 2026

See your crew’s training dates in one editable Excel matrix. Use one row per person and adapt the course columns to the work your business actually does.

.xlsx · 50 people · No macros · No email required

What is included?

Set it up in a few minutes

  1. Rename the course headings to match the tasks and site requirements that apply to your crew.
  2. Add names or internal IDs. Copy dates from the original certificate or verified scheme record.
  3. Use an agreed review date where there is no certificate expiry. Explain that choice in Next action.
  4. Use N/A only after confirming the subject does not apply. A blank date remains an item to check.
  5. Filter Date review for expired or upcoming items, assign an action and save a secure backup.

How the warnings work

Dates before the review date are marked expired. Today and the next 30 days are marked due soon by default. Change the advance-warning period to match your booking lead time. The review date updates when the spreadsheet recalculates.

“Dates recorded” means the fields are filled. It does not confirm that a worker is qualified or that the site’s requirements have been met. The suggested course headings do not make every course mandatory for every worker.

When an online register helps

The spreadsheet is useful for a crew overview. CertKeep stores one person’s course or certificate per record, with filters, CSV exports and calendar downloads. The free plan holds 10 records. This matrix does not automatically import into or synchronise with CertKeep.

Keep original certificates in your secure document storage. Neither the template nor the register needs dates of birth, National Insurance numbers or health information.

Keep the next renewal in view.

CertKeep gives you a private certificate register with date filters, CSV export and calendar downloads. Start with 10 records free.
